The written steps below are complete. Producing the video? Use the video script tab — it follows these steps one for one.

Invoices are created from the signed card on the job page and are built from the accepted snapshot: the option the homeowner chose plus the upgrades they ticked, never from the editable draft. There is one invoice per proposal; clicking Create invoice again opens the existing one.

Creating the invoice moves the job to Invoiced. Payment is tracked by moving the job to Paid on the board; the invoice itself has a Deposit Paid and Balance Due field but no paid/unpaid status.

By the end you can

  • Create an invoice from a signed proposal
  • Edit dates, items, adjustments, deposit, terms and notes
  • Preview, send and find the PDF

Before you start

  • A signed proposal on the job
  • Your email is verified

Screens used

  • /projects/[projectId]
  • /invoice/[id]

Step by step

  1. Create the invoice/projects/[projectId]

On the job page, on the signed proposal card, click "Create invoice".

You should see: The invoice editor opens at /invoice/<id>. On an unsigned card the button is absent, and the server refuses with "Cannot create invoice for unsigned report."

  2. Invoice Details/invoice/[id]

In the "Invoice Details" card set Invoice Date and Payment Due Date; the Invoice ID is prefilled and can be changed.

You should see: Fields save as you leave them.

  3. Check the lines/invoice/[id]

Read the quote sections (Item Description / Quantity / Price / Include), the Options section with accepted upgrades (with Include and Visible), and Adjustments. Use "Add Item" for extras agreed on site, and untick Include for anything not to bill yet.

You should see: Totals: Quote total, Options, Adjustment, Total.

  4. Deposit, terms and notes/invoice/[id]

Type the amount already received in "Deposit Paid". Fill "Terms" and "Notes".

You should see: "Balance Due" equals Total minus Deposit Paid.

  5. Preview and send/invoice/[id]

Click "Preview Invoice". In "Invoice Preview" click "Send Invoice", confirm the recipient (defaults to the job email) and send.

You should see: The homeowner receives the email built from the Invoice template with the PDF. The job is in Invoiced and Activity logs "Invoice created".

The PDF is also available at /api/pdf/invoice/<id> for downloading or printing.

Tips

  • Edit the invoice email wording under Settings → Email Settings → INVOICE.

Troubleshooting

  • Create invoice opened an old invoice instead of a new one.

There is one invoice per proposal. Edit the existing one; for a second bill, duplicate the proposal and sign the new one.
