Every automation ships with sensible wording, but your homeowners should hear your voice. The editor lets you rewrite the email and the text, insert details with a click, see a preview and email yourself a test without saving.

By the end you can

  • Edit an automation's email subject, body and text
  • Insert tokens and know what each one becomes
  • Preview, test-send and restore the original wording

Before you start

  • You are the owner

Step by step

  1. Open the editor/settings?activeTab=automations

In Settings → Automations click "Edit" on "Appointment confirmation".

You should see: A dialog titled with the rule name. Checkboxes "Send an email" and "Send a text message", a token row "Insert details (click to add where your cursor is)", fields "Email subject", "Email message" and "Text message".

  2. Rewrite the email/settings?activeTab=automations

Click into "Email subject" (up to 200 characters) and "Email message" (up to 5000). Place the cursor where you want a detail and click a token such as CUSTOMER_FIRST_NAME or APPOINTMENT_DATE. Expand "Preview" to see it rendered.

You should see: The token appears as {{CUSTOMER_FIRST_NAME}} in the text and as a sample name in the preview.

Tokens: CUSTOMER_FIRST_NAME, CUSTOMER_NAME, JOB_ADDRESS, ACCOUNT_NAME, COMPANY_PHONE, COMPANY_EMAIL, JOB_STAGE, APPOINTMENT_TYPE, APPOINTMENT_DATE, APPOINTMENT_TIME, APPOINTMENT_WITH. If an optional detail such as the phone is blank, the whole sentence containing it is dropped.

  3. Rewrite the text message/settings?activeTab=automations

Edit "Text message" (up to 600 characters). Watch the counter "About N characters (N text messages)".

You should see: "Reply STOP to opt out." is added automatically if you remove it. Keep the message short to stay within one text.

  4. Email yourself a test/settings?activeTab=automations

    Click "Email me a test".

You should see: The current on-screen wording is sent to your own address with sample data, without saving.

  5. Save or go back to the original/settings?activeTab=automations

Click "Save". If you ever regret your edits, reopen and click "Original wording".

You should see: The row keeps your wording; "Original wording" restores the shipped text.
