What My Roof CRM does: the life of a roofing job
A five-minute orientation. Learn the eight stages every job moves through and which screen you use at each one, so the rest of the course makes sense.
Video tutorial coming soon
The written steps below are complete. Producing the video? Use the video script tab — it follows these steps one for one.
My Roof CRM is built around one idea: a roofing job is a single record that travels from a first phone call to a paid invoice. Everything you do, from scheduling the inspection to collecting a signature and ordering shingles, hangs off that one job. You never re-type the homeowner into a second tool.
The job board is the home screen. Its columns are the eight stages of a job. Some moves you make by hand (dragging a card); others happen automatically when you do real work, such as saving photos, sending a proposal or creating an invoice.
This lesson walks the stages from left to right and names the screen you will use at each. Every later lesson in the course goes deep on one of these screens.
By the end you can
- Name the eight job stages and what moves a job between them
- Point to the screen used for each part of the job
- Know which parts of the app the owner controls and which everyone shares

Step by step
Open the board
/boardLog in. You land on Board, the first item in the left sidebar. Read the eight column headings from left to right: New lead, Inspected, Quote sent, Signed, Materials ordered, In production, Invoiced, Paid.
You should see: Eight columns are visible (scroll sideways on a small screen). Each has a coloured dot, a count and a dollar total. The subtitle reads "N active jobs · $X still to win".
Stage 1 and 2: New lead and Inspected
/boardLook at the first two columns. A job is created with the "New job" button and starts in New lead. When someone saves site photos from their phone, the job moves to Inspected on its own.
You should see: Empty columns show the hint text "Call booked, customer created" and "Photos and notes captured".
Stage 3 and 4: Quote sent and Signed
/boardLook at the next two columns. Building the proposal happens on the job page and in the report editor. Sending it moves the job to Quote sent; the homeowner signing moves it to Signed.
You should see: Cards in Quote sent carry a tracking chip such as "Sent 2h ago" or "Opened 3× · yesterday".
Stage 5 to 8: order, production, invoice, paid
/boardLook at the last four columns. Creating a material order from the signed proposal moves the job to Materials ordered. In production is a manual move when the crew starts. Creating the invoice moves it to Invoiced. Paid is a manual move when the money arrives.
You should see: Hint text reads "Material order created", "Crew on the roof", "Invoice sent" and "Payment received" (the Invoiced move actually happens when the invoice is created).
Automatic moves only ever go forwards. Dragging a card backwards is allowed and is how you correct a mistake.
Find the supporting screens
/boardRead the rest of the sidebar. Calendar schedules visits. Jobs is the full list. Customers rolls up every homeowner. Dashboard shows revenue. Price list is your catalog. Under Setup: Branding, Settings, Team, Billing and Help & guides.
You should see: Every item highlights when you click it, and the page heading matches the item (the Jobs page heading says "Projects"; same thing).
Tips
- If you only remember one thing: the job is the record. Open the job page and everything about that homeowner is there.
- The word "project" in a few page headings means the same as "job".
Questions people ask
- Do I have to use every stage?
- No. Many companies never drag to In production. Use the stages that help you see where work is stuck.
- Can a job skip stages?
- Yes. A manual move can go to any stage, and automatic moves jump straight to the matching stage, for example from New lead to Quote sent if you send a proposal without saving photos first.
