Additional Signers Guide

Collect Signatures from Multiple Parties

Some quotes require approval from more than one person. The Additional Signers feature lets you add up to four signers to a single quote. Signatures are collected sequentially, ensuring the main decision-maker approves the terms before other parties.


How to Add Additional Signers

Each quote automatically has a Primary Signer. This is the main customer contact listed in the project's Customer Details. Their information appears on the report's Authorization Page.

To add more signers:

  1. Open a report for editing.
  2. Navigate to the Authorization Page.
  3. Scroll down to the Primary signer section.
  4. Click Add Signer button.
  5. Enter the Name and Email for the additional signer.
  6. Repeat steps 4-5 to add more signers (maximum of 3 total, including the primary).
  7. Changes are saved automatically.

Signatures on the Authorization Page The names of all configured signers will appear on the Authorization Page of the quote, showing the customer who is required to sign.


How Sequential Signing Works

Quotes are sent to signers in the order they are listed. The system automatically manages the workflow:

  1. The Primary Signer receives the quote first. They have decision-making authority to select the quote version, optional upgrades, and enter product selections. Only after they sign does the process move forward.
  2. Once the primary signs, an email notification is automatically sent to Signer 2, inviting them to review the primary signer's selections and sign.
  3. This sequence continues for Signer 3.
  4. After all signatures are complete, a copy of the fully signed quote is emailed to every signer, plus the team member who originally sent the quote.

This design prevents confusion and ensures the terms are set by the main contact before secondary parties approve.


Checking the Signing Status

You can easily track a quote's progress through the signing chain.

To check the status:

  1. Open the project and find the report that was sent for signing.
  2. Look at the bottom of the report card. You will see:
    • A pencil icon with the date the report was sent.
    • A signature counter (e.g., 1 of 3) showing how many people have signed vs. how many are required.
  3. Click View Details link for more information, such as who has signed.

Signing on Behalf of a Customer From the "View Details" pop-up, you will see a Sign Now` button. Clicking this allows you to sign the quote as the next person in the sequence. Only use this if you have explicit permission from that customer to sign on their behalf (e.g., over the phone).
